Cancellation and Refund Policy

Purpose of This Policy

This policy outlines the cancellation, rescheduling, and refund terms for therapy sessions. It ensures clarity, fairness, and consistency in line with professional standards set by BAAT, BACP, and UKCP.

Notice Period for Cancellations

Clients are asked to provide at least 48 hours’ notice to cancel or reschedule a session. Cancellations made with less than 48 hours’ notice will incur the full session fee.

Missed Sessions / No-Shows

If a client does not attend a scheduled session without prior notice, the full fee will be charged. This maintains professional boundaries and respects the therapeutic commitment.

Emergency Exceptions

In cases of illness, bereavement, or urgent unforeseen circumstances, exceptions may be made at the therapist’s discretion. Clients are encouraged to communicate as soon as possible.

Therapist-Initiated Cancellations

If the therapist must cancel a session due to illness or emergency, clients will be offered an alternative appointment or a full refund for any pre-paid session.

Refunds for Pre-Paid Sessions

Refunds for pre-paid blocks of sessions will be issued for any unused sessions, minus any applicable cancellation fees. Refunds will be processed within 14 days to the original payment method.

Cooling-Off Period

For sessions booked online or at a distance, clients may be entitled to a 14-day cooling-off period under UK consumer law, unless therapy begins within that period with the client’s consent.

Fairness and Transparency

This policy is communicated clearly before therapy begins and forms part of the therapeutic contract. It aligns with BAAT, BACP, and UKCP expectations for ethical, transparent practice.

GDPR Considerations

Any data processed during cancellation or refund procedures is handled securely and in accordance with GDPR and the Data Protection Act 2018.

This policy may be updated periodically to reflect changes in legislation or professional guidance. Clients will be informed of any significant updates.
